Letters and Warnings Templates

Letters and warnings are formal communications or notices issued to students. Letters serve various purposes, such as academic, administrative, or compliance-related matters, while warnings address violations or failures to meet required standards, often requiring corrective action. To access the Report Template Screen, navigate to the Report Template section under the Admin tab.

You can choose with any option as per your requirements. Let’s suppose by selecting the Student Letter and Warning template, the system will redirect you to the Student Letter and Warning screen for further actions.

Steps to customize the Letter and Envelope template in TEAMS

You can download the master template of the report. This template includes merge fields, which allow for quick and efficient customization. For instance, to include details like a student’s number or name, simply copy and paste the appropriate merge fields from the template. When the report is generated, TEAMS automatically fills these fields—such as the student number or name—based on the current data in the system, ensuring accuracy and consistency in each report.

These merge fields are organized into two categories:

  • Individual Merge Fields
  • Tables 

Individual Merge Fields

Merge fields, enclosed in curly brackets, enable the system to automatically populate information such as student numbers or names. To use these fields, copy the relevant merge field from the master template and paste it into your custom template. Ensure that the curly brackets are included when copying, as they are necessary for the system to populate the data accurately.

Uploading Custom Report Templates in TEAMS

You can generate a student letter or warning by selecting the icon at the top right corner of the Student Dashboard. It will display a pop-up window with the information about the template. Once you click the Generate button, the system will process the request.

A notification will confirm the successful generation of the letter or warning.
