By specifying the start and end dates for the subject on this screen, you can allocate it to multiple enrolments at once. You can also remove any subjects that are already linked to the enrolments by selecting them from the grid. To do this, you need to follow three different steps on three different screens.
Step 1
The first step is to use the filters to search the subjects that you want to allocate to the enrolments. These filters include subject code, subject dates, campus, program, intake, and timetable. Depending on whether you choose “Subjects” or “Units of Study” (UoS), the relevant filter options will appear.
Once the filters are selected, click the Apply button to display a grid of student enrolments with the linked subject. This grid provides enrolment details such as the student’s name, enrolment number, and enrolment dates. To allocate the subject to specific enrolments, select the tickbox before the student number and click the Save button to proceed.
Step 2
Now, you will have the option to update the start and the end dates for the selected Subject/Unit of Study (UoS) for the enrolment, selecting radio buttons of either Yes or No.
If you choose Yes, the system will prompt you to enter new start and end dates in the provided fields. After entering the dates, click Apply. The screen will then refresh and display two tabs:
- Subject/UoS dates cannot be updated
- Subject/UoS dates can be updated
These tabs will show grids listing the enrolments for subjects that either can or cannot have their dates updated.
If you select No, it indicates that you do not wish to update the subject dates. Once your selection is made, click Next to proceed.
IMPORTANT - For enrolments where the Subject/UoS has a final result, the system will not allow deletion of the Subject/UoS. While the system will complete the steps of allocating the Subject/UoS and updating dates (where applicable), you will need to manually delete the Subject/UoS through the Training Plan and Results screen for those specific enrolments.
Step 3
In this Final step, you can choose to delete a Subject/UoS from the selected enrolments by selecting the radio button of either Yes or No. If you select Yes, a dropdown list of subjects will appear, allowing you to choose the subject you wish to delete. After making your selection, click the Save button to complete the deletion process, removing the selected subject from the enrolments.
