This screen provides an overview of the subjects linked to the enrolment, including their start and end dates, results, and result dates. This screen is divided into two sections, allowing you to edit the dates and results, link the trainers, mark the assessments, and many more.
The first section of the screen displays three distinct areas: Academic Information, Current Timetable, and Student Progress and Qualification Information.
Academic Information
This section provides a summary of the enrolment i.e., in which campus and course the student is enrolled, along with the enrolment start and end dates.
In addition to the enrolment summary, this section displays details on how the system populates subject dates. You can also change the subject’s dates by updating them using enrolment dates, academic templates, group training plans, and course definitions.
Current Timetable and Student Progress
This section displays the information related to the current timetable and total classes. It also shows the total number of subjects, those successfully completed, those yet to be completed, and those not counted due to CT, RPL, or RCG. Additionally, you can select Level Attained by clicking the next to the text.
Qualification Information
This section displays the information related to the parchment number and parchment date, result issuance status, and the commencement and completion status. You can also update the qualification details such as Parchment number or Completion status etc, by selecting the icon.
In the second section of the screen, it will show you the subjects along with their dates and result dates. You can add new subjects from the + icon, and set subjects as inactive or delete them if needed.
Results Section
This section displays comprehensive details about the results, where you can edit the dates and results, link trainers, mark assessments, and much more.
Please note: You can save the record without entering the subject date; however, this is not recommended on the AVETMISS screen. If the subject date is missing when submitting data in February, it will cause an error. To avoid this issue, ensure the subject date is entered before clicking Save.
The screen is divided into three tabs: Current, Inactive, and Deleted.
Current tab – This tab displays all the current subjects that are linked to an enrolment, Under the current tab, there are two buttons: the “Update Enrolment with Compulsory Subjects” and “Add Subject” buttons. By clicking on the “Update Enrolment with Compulsory Subjects” button, you can update all compulsory subjects of the program level to the training plan and result screen of the enrolment without removing any non-compulsory subjects.
By clicking the “Add Subject” button, the current tab will expand, allowing you to search for and add subjects to the training plan and results screen. You can choose either to select subjects linked to the enrolment by using the “Program linked to the enrolment” radio button or search from the full list of subjects in the system.
After selecting the desired option, provide the necessary details, and finalise the process by clicking the “Add” button to include the subject in the training plan and results screen.
Inactive tab – This tab shows you all the subjects that are marked as inactive from the current tab. You can reactivate these subjects using the ‘Active’ icon or delete them using the ‘Delete’ icon.
Deleted tab – Any subjects removed from the Current or Inactive tabs, those subjects will appear in the Deleted tab. You can restore the deleted subjects with the Restore icon.
IMPORTANT - If you have removed the subject from the current tab and want to bring it back, restoring it will place it back in the current tab. However, if you have marked a subject as inactive, deleting it from the inactive tab won't immediately return it to the current tab. Instead, it goes to the inactive tab, and you need to mark it as active again for it to appear in the current tab.
Assessment Result
The Enrolment Submission section displays a list of assessments linked to a specific subject, with each row representing an assessment and its details.
To access the enrolment submission screen, click the assessment count displayed in the second section
This will bring up the Enrolment Submission screen, showing assessment details such as type and status, with options for quick management.
How to Mark Assessment Result:
- If the student has successfully completed the assessment then mark the assessment as Completed, you’ll have the option to attach files and select the outcome as either Successful or Unsuccessful from a dropdown list.
- You can follow the same steps for the other assessments. Once all assessments are marked as completed with a Successful outcome, the system will automatically update the subject result to Competent.
- Alternatively, if assessments are marked with an Unsuccessful outcome (with only one or none marked as successful), the system will automatically set the subject result to Competency Not Achieved/Fail based on the assessment outcomes.
